Employee Contact Tracing and Testing


Guidance for Employees and Supervisors: 

Employees who are a close contact of someone who tests positive for COVID-19 

  1. Any employees who are identified as possible close contacts to someone who has tested positive for COVID-19 will be contacted by a Hendrix staff person and/or the Arkansas Department of Health. They will be asked to quarantine immediately at home. 
  2. Employees should contact their supervisors and discuss any important work-related issues. 
  3. A verification letter confirming the employee’s quarantine will be sent to the employee, the immediate supervisor, and Human Resources.  
  4. Employees will receive detailed instructions as well as an expected date to end quarantine. In most instances, quarantine lasts at a minimum of 14 days from the most recent date of exposure so long as symptoms do not develop and there hasn’t been a positive COVID-19 test result. 
  5. At the end of quarantine, an official letter will be sent to confirm the completion of quarantine. Quarantine may not be ended until that letter is received. 

*A close contact, as defined by the Arkansas Department of Health, is someone who was within 6 feet of a positive COVID-19 case for 15 minutes or more during the 48 hours prior to the positive test result (if no symptoms) or when symptoms first started. 

Employees who have signs or symptoms of COVID-19 

  1. Employees should stay home and not come to work. (UAMS Online Screening Tool)
  2. Employees should contact their immediate supervisor. 
  3. Employees should contact the Hendrix Medical Clinic (Schedule Appointment) for a telehealth visit. It is strongly recommended that you contact the Hendrix Medical Clinic due to our partnership with Conway Regional Health. Our partnership allows for reliable testing and reporting of test results. If you prefer, you may contact your own healthcare provider. 
  4. If an employee is not referred for COVID-19 testing, then the employee may return to work so long as there is no fever for 48 hours and the guidance of the healthcare provider is followed. 
  5. If an employee is referred for COVID-19 testing, then the employee should isolate at home pending the test result, notify their immediate supervisor, and email aboutcovid19@hendrix.edu
  6. If the test result is negative, the employee may return to work so long as there is no fever for 48 hours and the guidance of the healthcare provider is followed. 
  7. If the test result is positive, then employees should follow the instructions for a Positive COVID-19 Test Result (below). 

Employees who test positive for COVID-19 

  1. Employees should isolate immediately at home. 
  2. Employees should contact their immediate supervisor and discuss any important work-related issues. 
  3. Email aboutcovid19@hendrix.edu or call/text 501-476-5562 as soon as possible with the employee’s full name, test result, and most recent date on campus
  4. Employees will be contacted by a Hendrix staff person and/or the Arkansas Department of Health to share detailed instructions and conduct a contact tracing interview. Any possible close contacts that are identified will be contacted and informed of their risk for exposure.  
  5. A verification letter confirming the employee’s isolation will be sent to the employee, the immediate supervisor, and Human Resources.  
  6. The letter will set an expected date to end isolation. In most instances, isolation lasts 10 days from the date of the positive test result (if no symptoms) or when symptoms first appeared so long as symptoms are improving and there has been no fever for 24 hours. 
  7. At the end of isolation, an official letter will be sent confirming the end of isolation. Isolation cannot be ended until that official letter is received. 

Guidance for Employees and Household Family Members: 

Employees with a family member (in their household) who has symptoms of COVID-19: 

  1. You may contact the Hendrix Medical Clinic (Schedule Appointment) for a telehealth screening. It is recommended that you contact the Hendrix Medical Clinic due to our partnership with Conway Regional Health. Should there be a referral for COVID testing, our partnership allows for reliable testing and reporting of test results. If you prefer, you may contact your own healthcare provider. 
  2. Contact your immediate supervisor, if needed, to arrange time away from work if you need to care for your family member or provide transportation for medical services including, but not limited to, COVID testing. Questions about leave time or pay should be referred to Human Resources.
  3. If your family member is not referred for COVID testing, then the employee should communicate with their immediate supervisor about using personal leave time if needed to care for the family member. The employee will not be required to seek testing or quarantine at home. 
  4. If your family member is referred for COVID testing, then you should make arrangements with your immediate supervisor to work remotely or stay at home pending the test result, and you should email aboutcovid19@hendrix.edu 
    • If the test result is negative, then the employee should communicate with their immediate supervisor about using personal leave time if needed to care for the family member. 
    • If the test result is positive, then the employee should quarantine at home and email aboutcovid19@hendrix.edu

Employees with a family member (in their household) who has been quarantined due to exposure to COVID-19: 

  1. Notify your immediate supervisor. 
  2. Email aboutcovid19@hendrix.edu
  3. If possible, it is recommended that the employee work remotely during the quarantine period to care for the family member and to reduce the risk for spread within the Hendrix community. If remote work is not possible, then the employee should contact hr@hendrix.edu
  4. The employee should take appropriate precautions for caring for a sick loved one at home.
  5. The employee should monitor their symptoms closely and contact the Hendrix Medical Clinic if any symptoms present.

      • If an employee is referred for COVID-19 testing, then the employee should isolate at home pending the test result, notify their immediate supervisor, and email aboutcovid19@hendrix.edu
      • At the end of the family member’s quarantine period, the employee (if working remotely) may end remote work so long as the employee has no COVID-19 symptoms and the employee hasn’t received a positive COVID-19 test. 

      Employees with a family member (in their household) who is positive for COVID-19: 

      1. Stay at home and do not come to campus. 
      2. Notify your immediate supervisor to make arrangements for remote work, if possible. If remote work is not possible, then the employee should contact Human Resources.
      3. Email aboutcovid19@hendrix.edu
      4. The employee should take appropriate precautions for caring for a sick loved one at home.
      5. In most instances, the employee will be asked to quarantine. Typically, quarantine lasts at a minimum of 14 days from the most recent date of exposure so long as the employee does not have symptoms and the employee hasn’t received a positive COVID-19 test result.
