Instructions for Completing Housing Room Selection Process
The Room Selection Process is one of the most exciting events during spring time at Hendrix College. This year, we have made some significant changes to the housing selection process in an effort to improve the student experience. We have simplified the process in an effort to give students more control in the selection of rooms for next year. We have worked with Student Senate and the Council on Residence Life (CRL) subcommittee on the new system and have gotten favorable feedback from student leadership.
We have discarded the computer assignment system in favor of a manual housing process. The housing process will be divided into three days: squatting, apartment selection and traditional hall/house selection. Students will select rooms in draw number order. When it is your turn to select, you will have an opportunity to select any room that is available at that time. As in past years, we will still offer students opportunities to squat their current rooms prior to the selection process. You will find additional information about that process in the information that follows.
The number of rooms available in any residence hall, house and apartment building is finite. We are committed to holding spaces for incoming students in the traditional buildings. We have worked with the Student Senate and CRL to designate the number of allocated spaces for new students in each of the traditional halls. There is limited space in the traditional halls, so students should consider other options as their first choice may already be taken by a squatting student or a student with a lower draw number.
The information contained here will help you understand the housing selection process thoroughly so that you may go through the process with ease. Please use this information to help you meet all important dates and deadlines. It includes information for students planning to return from studying abroad and LOA, students that will study abroad during the fall 2009 semester, the off-campus request procedure, and timelines.
We encourage you to take advantage of all available room selection resources: attend and bring any questions you may have to an information session, look at the space you are considering for next year, and/or contact your Resident Assistant, Head RA, Hall Director, Area Coordinators or Residence Life Office in person or you can email us at housing@hendrix.edu. If you fail to participate in the Process and you are retuning as a student, you will be assigned a room after all other returning students have been assigned.
Please keep in mind that if you select into a space with a roommate(s), the BEST draw number will select for your room group. On the room selection nights, we will break up the night based on your draw number. You do not need to come any earlier than your scheduled selection window. However, if you miss your room selection time, you should come by as soon as you can and you will be inserted into the process at that time. Delaying your selection after your designated time may prevent you from getting your first choice because others may have beaten you to it – so be on time or send a proxy.
Overview
The Process
- Each student participating in the process will be assigned a draw number according to their classification.
- Each draw number will correspond to a time at which to attend the Room Selection Process.
- Select a living space for yourself and your roommate group.
- Fill out your H-Card.
- Go through the check list.
- Take your H-Card to the Process at your appointed time, or send it with your Proxy or Room Representative, if applicable.
Draw Number
Draw numbers are based solely on classification. Each class will have its own set of unique draw numbers which will be randomly assigned to students within that class group. The lowest set of numbers will be given to super seniors; the highest set will be given to rising sophomores.
- 1000-1050 Super seniors (returning for a 5th year)
- 2000-2400 Rising seniors
- 3000-3400 Rising juniors
- 4000-4400 Rising sophomores
Each roommate group or room representative should attend the Process according to the lowest draw number of the room group.
The H-Card
On the H-Card, list your roommate(s) in the spaces provided and accurately record each draw number. We will process your request using the lowest draw number from your group. If for any reason the draw numbers or names listed on H-Cards do not match or are inaccurate, you may be delayed (lose your place in line) while accurate information is recorded.
Squatting
If you are happy and comfortable with your present living arrangement, you may be able to continue living there for the coming academic year. If you are interested in squatting, please be aware that:
- You may only squat if you have a roommate for the coming year.
- If you and your roommate(s) both want to remain in your current room but do not want to live together, priority goes to the student with the best draw number.
- If one or more of your roommates is not returning to the room, you must find someone to fill their spot.
- Residents may not squat in special interest housing (Language House and Eco House).
- None of the existing roommate(s) are bumped from the Room Selection process.
- Students living in temp rooms may not squat those spaces but will be given the chance to select a room immediately after squatters have gone through the Process.
GPA Requirements for Housing
In order to live in the apartments, students must have a cumulative GPA of at least 2.0 as of the end of December 2008. Students with a GPA below 2.0 must live in the traditional halls.
In order to be considered for off-campus housing, students must meet the following GPA minimums as of December 2008: rising sophomores must have a 2.75, rising juniors must have a 2.5 and rising seniors must have a 2.25.
Off-Campus Housing Requests
Students are required to live on-campus during time at Hendrix. Each year, Hendrix releases a limited number of students from this obligation. With the opening of the Hendrix Village Apartments in August 2009, we expect this approval number to be much lower than this year. In order to be released from this obligation, students must file a residency exemption request to the Dean of Student’s office. All off-campus applications are due March 6, 2009. Approvals will be granted by March 16, 2009. Exemption request forms may be picked up from the Residence Life office in Buhler.
Absent Students and Proxies
If you are unable to attend any portion of the housing process and a room representative cannot attend for you, you may designate a proxy to act on your behalf. This is especially important for students who are currently Abroad or on a Leave of Absence. Students who do not participate in the process at all will be assigned a room at the end of the process.
Room Selection Proxy forms are available below and in the Residence Life Office, Buhler Hall 105. They must be signed by the proxy and brought with the H-card to the Room Selection Process.
We understand that absent students may not be able to sign the form. An email from the absent student with selection choices to the proxy may be substituted for a signature. Absent students are responsible to appoint and communicate with their proxy. Proxies must be currently enrolled and attending classes on the Hendrix Campus.
Substance Free Building Selection
Currently, Hendrix offers Brown House as a substance free living option. To live in Brown House, you must be committed to a substance free lifestyle. Our intention is to provide space for a community made up of individuals who consciously want to keep the primary and secondary effects of drinking, illegal drugs and smoking out of their lives. Therefore, it is expected that community members will not drink or use drugs in the building and will not return to the building if they have been drinking, using drugs or smoking in another location. You will be removed from Substance Free housing (space permitting) if you are found to be responsible for violating the Substance Free House policy.
Substance Free House policies contract must be signed at time of Room Selection.
